How Can Appointment Setters Buy Into Our Brand/Culture If They Aren't In-House?

You might be wondering…

“How can we expect the setters to buy into our brand and our culture if they're not in-house at our company?”

Our appointment setters are dedicated, they're just not in-house. You're working with the same person every single day, every single week.

This means you have someone who really does know your brand. They know your voice, they know your company, your offer, your ideal clients.

At the same time, this allows us to minimize the amount of turnover you're going to experience. Because, ultimately, appointment setting is an entry-level sales role. And entry-level roles are going to have higher turnover than more senior roles. It's just the nature of the beast.

What we do with Appointment Setters is build a dossier for your business. And even if a setter does leave, we already have someone who's trained up as a redundancy. So you won't even miss a beat.

Can Appointment Setters Handle a Complex/Multi-Touch/Omnichannel Sales Process?

So now you're maybe wondering…

“I've got a multi-step process” Or “I have leads coming in from different sources. Are the appointment setters able to handle that?”

Short answer: you and everybody else has a multi-step process. So yeah, we can handle that. Because if we couldn't, then we wouldn't even be able to offer Appointment Setters in the first place.

The way that things are working now is marketing and sales have shifted to omnichannel and buyers are more reluctant than ever. That's why we have setters because most people don't want to just jump on a sales call; we need to nurture them through the process.

And there are going to be multiple steps. Whether that's them entering your Facebook group or getting a two-step. Maybe they're positive replies on LinkedIn or via cold email. Maybe you got inbound calls coming from voicemail drops. Doesn't matter, we've done it all. We can do it all.

So yes, our setters are able to handle all of that.

Will Appointment Setters Plug Into My Systems Or Use Their Own?

While everybody's systems are slightly unique, most are generally the same. And appointment setters plug into one of the following situations:

  • Facebook groups, organic two steps
  • Inbound triage calls
  • Facebook and Instagram DMs
  • Cold outreach via LinkedIn or email and handling positive replies
  • Outbound dialing no-shows or opt-ins that didn't book a call

We've got the whole thing covered across the board. And odds are your systems fit in there to a lesser or greater degree. What we like to do is take a look at what you have, offer alternatives based on our expertise, and figure out what'll work best in your situation.

Because what we have is data and lots of it. We've done over $10 million in closed sets. We track everything like maniacs. And we're constantly testing and tweaking across multiple accounts.

We have far more groups. We have far more profiles. We have far more LinkedIn accounts and campaigns than most people are actually running inside of their own business.

That means we have more data and more insights. And we are able to get better results out of those insights, and turning them into actionable next steps or actionable processes.

So yes, we will be able to plug into your systems. However, we'll likely find a combination or offer opportunities for improvement that maybe you haven't considered.

Are Appointment Setters Located In US/UK/Canada/Australia Or Offshore/Overseas?

If one of our appointment setters is getting on the phone for you, they're going to have a native English-speaking accent. Most of our setters come from the US or the UK.

What we found is that non-native English-speaking accents lead to mistrust and that mistrust drops our conversions.

So that's why when it does come time to get on the phone and talk to someone, and really make sure that they're qualified and that they're a good fit and to move them to the next step, you're going to have someone who has a native English accent.

Now, they may be located in different regions. So for example, we have some setters who are from the US but they living in South America. And that can be the case from time to time.

How Will I Know If Appointment Setters Are Good Enough When I Hire Them?

You'll be able to figure it out from the first seven days, because they're going to be hitting KPIs or not. Now, here's one thing to keep in mind. Most people think that appointment setting is a talent-based role. This is not the case.

Setting is an entry-level, high turnover role. The average setter is going to make between $30,000 to $50,000 per year. So you're not going to get the baddest-ass sales rep on the planet. Most high-caliber closers won't even bat an eye for less than six figures.

But that's not the role of setters anyway. Setting is more based on systems, response time, and activity levels than it is on skill levels.

So what we do is make sure we're hitting our activity metrics. That we're hitting the output we need to get the outcome we need. And that happens when you have the right systems, processes, and governance to make sure that everything's happening as it should.

On-time, predictably, and consistently.

How Many Appointment Setters Should I Start With To Get Good Results?

To start, you're going to get one dedicated chat person and one dedicated voice person. Now, you might need more and that's okay.

Generally, we like to start with one, just to make sure that we're happy and comfortable working together. And then as your needs grow, we can scale up. We can add new setters, either voice or chat, on a per-seat basis.

All you have to say is “we need another person” and then boom, they're plugged in. You don't have to do any recruiting. You don't have to do any interviews. You don't have to do any onboarding. You don't have to do any training. This saves you tens to hundreds of hours as your business grows.

Why Can't I Recruit Appointment Setters Myself & Manage Them In-House?

Why can't you recruit setters and do it yourself in-house? Truth is, you can. It just sucks. It's a terrible problem to solve, it's brutally painful. And the reason for that is the high turnover. So you're constantly recruiting, you're constantly training.

And setting, in general, is something that involves much more management. If you're dealing with closers, they're often more self-reliant and easier to manage closers. But when it comes to setters, it's much more difficult to manage and retain your team.

You'll also need more resources to handle the additional recruiting, interviewing, and onboarding. Most businesses we've worked with, that tried to do it in-house, dramatically underestimated the amount of effort, management, and oversight it takes to run a top-performing set team. And because of this, they don't get the results they want.

It's a lot easier when we come in as a partner and take all that off your plate. We run the systems end-to-end. And all you see is more and better-quality appointments booked every single day. And then your closers end up having more conversations with perfect-fit prospects. This turns into more offers made, which means better conversion rates and revenue per call.

What's The Best Way To Communicate/Coordinate With Appointment Setters?

How do we communicate when we start working together? Well, We're going to have weekly one-on-one calls with you, or whoever's the point person on your account.

We also connect directly to your Slack account, if you use it. So we function as an extension of your team.

You'll be able to communicate directly with your set team. You'll be able to get daily reports to know exactly how many appointments have been set, how many people have been reached out to, where you're at on a month-to-month basis, and so on.

How Many Appointments Can I Expect Setters To Book Per Week?

How many appointments can you expect your setters to book per week? It's going to vary. There's quite a big range.

We have clients who are spending $100,000+ per month on ads, and we have clients who spend as low as $3,000-$5,000 per month on ads.

For clients who're spending $100k+/month, we regularly see an additional 30-50 appointments per week, sometimes more. On the lower end, with clients spending $5k-$15k/month, we generally an additional 5-15 appointments per week.

It depends a lot on your market and how warm your audience is. It depends on whether the leads are coming organically e.g. from Facebook groups, or if they're from cold traffic.

So, there are a lot of factors involved. But, ultimately, if we make you an offer it's because we know you'll ROI working with us inside of the first 30 days easily.

Will Appointment Setters Work On A Performance Basis Or Offer A Guarantee?

Do you guys work on a performance basis or offer a guarantee?

We get this question a lot and the answer is, yes, we offer a guarantee.

If you don't ROI with us inside of the first 30 days, we're happy to give you your money back. And that's because ultimately we believe in long-term relationships and we want you guys to win.

If you guys don't get the outcome you want, we don't want your money. That's how we operate.
